Job Description Summary

The Administrative Assistant performs a variety of administrative and staff support duties involving clinical education as well as support to the department. The Administrative Assistant functions as the first line information resource for students, faculty and staff. The Administrative Assistant assists and directs visitors and resolves administrative problems and inquiries. The position composes, edits, and proof reads correspondence, reports, and a range of administrative documents.

Required Qualification Summary

High School Diploma or GED.

Minimum 1 year related experience in an administrative support role.

Substantial, relevant experience directly related to the duties and responsibilities specified.

Ability to communicate effectively, both verbally and in writing, with internal and external constituents, including community. Collaborative, energetic, and outgoing.

Demonstrated ability to maintain confidentiality.

Basic skill in the use of personal computers, Microsoft office applications, web page development and maintenance, and social media.

Basic records maintenance skills.

Basic database management skills.

Ability to track department budget and expenditures in relevant database.

Frequently organizing resources and participating in planning in areas of operations and/or events for the department

Willingness to learn related software for manipulation of graphics for flyer/poster creation

Ability to perform internet searches and understand general copyright issues for images and documents

Ability to manage, update and change departmental Facebook page

Finalist will be required to successfully pass a background check.

Essential Duties

Provides administrative/secretarial support such as answering telephones, assisting visitors and resolving and/or referring a range of administrative problems and inquiries.

Operates personal computer to compose and edit correspondence and/or memoranda; may prepare, transcribe, compose, type, edit and distribute agendas and/or meeting minutes.

Schedules and coordinates meetings, events, interviews, appointments and/or other similar activities including travel and lodging arrangements, maintains calendars.

Prepares or assists with the preparation of statistical and narrative reports; performs basic information gathering.

Establishes, maintains and updates files, databases, records and/or other documents.

Sorts, screens, reviews and distributes incoming and outgoing mail.

Requisitions supplies, printing, maintenance and other services.

Performs miscellaneous job related duties as assigned.
