Job Description Summary

The University of the Sciences – a private, co-educational university founded as the Philadelphia College of Pharmacy in 1821 as the first school of pharmacy in North America – consists of 2,600 undergraduate students in Philadelphia’s University City neighborhood. The University attracts highly focused, academically driven future health sciences professionals, many of whom graduate after six years of coursework with both their bachelor’s and doctorate degrees. Under the supervision of the Associate Director of Residence Life, the Graduate Assistant (GA) will primarily support the residential population through strong management of each hall’s mail room and desk operations and excellent supervision of the Residence Life paraprofessional staff.

Required Qualification Summary

Interest in and understanding of housing/residence life programs, preferably both staff supervision and operations management

Excellent organizational, interpersonal, and communication skills

Strong interest in professional development and personal growth

Ability to self-motivate and multi-task

Familiarity with Microsoft Office and GoogleDocs

Enrollment in graduate-level higher education administration, student personnel services, or counseling preparatory program preferred

Finalist will be required to successfully pass a background check.

Essential Duties

Operations Management:

Continue integration of operations and unification of staffs for formerly separate desks and mail rooms

Oversee three residence halls’ paraprofessional staffs, including:

Direct supervision of three Service Managers (SMs) and one Senior Service Manager (SSMs), with biweekly two-on-one meetings, team meetings

Indirect supervision of 50+ Service Attendants (SAs)

Manage recruitment, selection, training, evaluation, and accountability processes for all paraprofessionals,

Monthly SA meetings

Ensure reliable, consistent paraprofessional staffing at each desk when residence halls are occupied

Coordinate emergency coverage plans for all three residence hall desks, including management of emergency-cover SAs

Monitor and improve online desk dashboard system

Verify biweekly payroll for all Residence Life paraprofessionals

Develop and provide customer service

Monitor guest policy sanctions and rejected ID requests

Manage guest policy, including pass and card creation and violations tracking

Residence Life Service:

Assist Associate Director with administrative tasks

Assist Residence Life office with initiatives involving the improvement of resident academic success

Participate in professional on-call duty rotation, maintaining immediate availability to RAs and Public Safety staff members managing crises

Serve as hearing complainant in conduct matters

Co-instruct (with a professional staff member) one seminar in Student Life’s leadership development series

Sit-on Resident Advisor (RA) training committee

Participate in critical Student Life events, including Orientation Leader (OL) training, RA training, Student Leadership Retreat, Move-in Day, Welcome Weekend, Fall Fest, MLK service project, Student Appreciation Weekend, Student Leadership Awards, Move-out Day, etc.
